This policy explains how SetUp Event Rentals Limited, trading as Landmark, registered office 54 Yam Street, Dome Pillar 2, Accra Ghana, collects and uses your personal information. Contact [email protected].

1. What We Collect

We collect information you provide directly when you book a trip, create an account, join our membership, host a trip, or contact us. Depending on what you do, this can include:

  • your name, date of birth, and gender;
  • contact details, including email address, phone number, and residential address;
  • nationality and passport details, where these are needed for a booking;
  • dietary requirements and allergies;
  • emergency contact details;
  • payment information, which is handled by our payment provider and is not stored by us;
  • the content of messages, requests, and feedback you send us.

We also collect a limited amount of technical data, such as your IP address and basic browser information, through standard server logs that keep the site running and secure. We do not use analytics or advertising cookies. See our Cookie Policy for details.

2. How We Use Your Data

Your data is used to:

  • process bookings, take payment, and communicate trip details;
  • create and manage your account;
  • send membership updates and destination content, only if you opt in;
  • respond to your enquiries and provide support;
  • run, secure, and improve our website and services;
  • comply with legal and tax obligations.

You can unsubscribe from marketing emails at any time using the link in each email, or by emailing us. Unsubscribing does not stop essential service messages, such as booking confirmations. We do not sell your personal data to third parties.

3. Sharing Your Data

We share personal data only with service providers who help us run Landmark, and only as far as needed to provide our services:

  • Supabase, for account, authentication, and database hosting;
  • Paystack, for secure payment processing;
  • Resend, to send transactional emails such as booking confirmations;
  • Brevo, for customer relationship management and email: keeping contact records, tracking booking and payment status (such as deposits paid and balance due), grouping contacts by interest, and sending membership updates and marketing you have opted into;
  • Google, if you choose to sign in with a Google account;
  • local partners and suppliers necessary to deliver your trip, such as accommodation, transport, and guides;
  • authorities or professional advisers, where required by law.

These providers act on our instructions and are required to protect your data and use it only for the agreed purpose. Some are based outside your country; see International Transfers below.

4. Cookies

We use only essential cookies and similar storage needed to keep you signed in and to process bookings. We do not use analytics or advertising cookies. You can manage cookies through your browser at any time. See our Cookie Policy for details.

5. Data Retention

We retain your personal data for as long as necessary to fulfil the purposes outlined in this policy, or as required by law. Booking records are typically kept for 7 years for tax and legal compliance.

6. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction or deletion of your data
  • Object to or restrict certain processing
  • Withdraw consent for marketing communications

Landmark operates across multiple countries. Your data may be transferred to and processed in countries outside your own, including Ghana. We ensure adequate protection measures are in place for all transfers.
